Hotel Information

PLEASE NOTE:  The initial block of rooms contracted by ACMG have sold out.  The Housing Bureau will work to continually add additional rooms and hotels to the block through the hotel cut off date of February 22.

While the ACMG Block does frequently fill before the cut off date - with ACMG and the Housing Bureaus continual monitoring of room inventory and as people adjust travel plans availability does occur.  ACMG and the Housing Bureau will work diligently to obtain accomodations for anyone registering before the cut off date of February 22, 2010.  After that date while hotel accomodations might be available, we cannot guarantee that they will be at the ACMG discounted rate.

 

Reservation Instructions 

 

To take advantage of the special hotel rates for the ACMG Annual Clinical Genetics Meeting, book your reservation by February 22, 2010 through the ACMG Housing Bureau.  ACMG cannot guarantee rates and availability at the conference hotels after February 22, 2010, OR if the ACMG Block sells out prior to that date. After February 22, 2010, the official ACMG room blocks will be released.  Requests received after the deadline, or after the room blocks are filled, are subject to rate and space availability and may not be offered at the discounted group rate (the hotels may charge significantly higher rates). The room block for this meeting frequently sells out prior to the cut-off date, so reservations should be made early.

A credit card guarantee of one night’s room and tax is required with each reservation request. Housing forms received without a valid credit card will be returned and will not be processed. Credit cards must be valid through the meeting dates to be considered a proper guarantee. Cash and check deposits are not accepted.

 

Cancellations or modifications to reservations may be made through February 20, 2010 through ABQ Housing Services, the ACMG Housing Bureau via e-mail - acmghotels@hbceventservices.com or fax 505-247-8200.  Reservations secured by credit card may be modified and/or cancelled without penalty from the ACMG Housing open date through the cut-off date, after which, cancellations will be assessed a $25.00 processing fee. Reservations made after the cut-off date and cancelled are also subject to the $25.00 processing fee. Please be aware of individual hotel cancellation policies that require 24 hours cancellation prior to arrival in order to receive a deposit refund. 

 

NOTE:  A limited number of government per diem rooms were available at the ACMG hotels, however they are no longer available. Contact the ACMG Housing Bureau at acmghotels@hbceventservices.com for recommendations. 

 

All reservations for the 2010 ACMG Annual Clinical Genetics Meeting must be booked through the ACMG Housing Bureau - ABQ Housing Services. Attendees must first be registered for the meeting and exhibitors must have purchased booth space in order to book hotel reservations. A “Hotel Promotional Code” will be included in registration and booth confirmation emails.  This code must be provided during the hotel reservation process.  Hotel rates include a $4 fee to cover the cost of the Housing Bureau management.


To obtain the necessary amount of meeting and exhibit space at the convention center and hotels, ACMG must commit to a minimum number of guest rooms. If that commitment is not met, ACMG could incur significant financial penalties and have difficulty obtaining sufficient meeting space in the future. This can have a major impact on the programs that ACMG is able to offer in the future. You can help the College avoid penalties by booking your reservation through the Housing Bureau.

Meetings and Functions Request

 

All meetings, events, functions and/or activities held in conjunction with the ACMG Annual Clinical Genetics Meeting by exhibiting companies and related organizations, whether at the Albuquerque Convention Center, any official ACMG Hotel, or at outside venues must be approved by ACMG.  (This includes Hospitality suites, University Alumni Events, Focus Groups, Non-ACMG Committee meetings, etc.)  Functions involving attendees may not be held during official ACMG events or programming.  Organizations booking meeting space are responsible for all costs associated with their function.  Download and send an the meeting request form below to acmgmeeting@acmg.net to request approval.

NOTE - SIMD ATTENDEES - If you are attending both the ACMG and SIMD Meetings - the SIMD Meeting begins Sunday afternoon with the joint ACMG/SIMD Plenary Session held at the Albuquerque Convention Center.  The remainder of the SIMD meeting will be held at the Hotel Albuquerque- Old Town and those attendees staying for the SIMD meeting will want to transfer to that hotel.  For detailed SIMD registration and hotel information visit www.simd.org.

 

Email Communications

Hotel reservation confirmations will be sent via email from the ACMG Housing Bureau.  The email address will be a “pseudonym email address” which are often identified by firewalls and spam blockers as “spam”.  To assure you receive all housing related emails, please ask your IT department or IS help desk to set your (or your instituttions) server so that any email that contains “ACMG” in the address is NOT blocked from transmitting or that the housing email address - acmghotels@hbceventservices.com is automatically accepted.  If your email does not go through an institutions email system – but through a server such as Hotmail, Cox, Gmail, etc. – you can set filter parameters directly.
