The guidelines below will provide all the information you need for the preparation and upload of your Poster.

  • Each presenter is responsible for the mounting and dismounting of their own Poster.

  • Odd Numbered Posters are presented on Thursday, March 20 from 10:30 am – 11:30 am PT.
3/21/2025
  • Even Numbered Posters are presented on Friday, March 21 from 10:30 am – 11:30 am PT.
  • Dismounting Time* Friday, March 21: 1:00 pm – 2:00 pm PT
  • Poster presenters must be at their poster during assigned times above.

 

*IMPORTANT NOTE: Any poster still mounted at 2:00 pm on Friday, March 21 will be removed and placed at the entrance to the exhibit hall. Posters that are not picked up outside the hall will be discarded. Your safety is very important and due to the limited time allowed for tear down of the Exhibit Hall it is extremely important that the specified dismounting time is strictly followed. Poster authors will only have access to the Exhibit Hall during the above specified times. Late mounting and early dismounting of posters is not permitted.

Poster Presenter Times:
Poster presenters are to standby their poster as the designated time below and engage with colleagues.

  • Odd Numbered Posters are presented on Thursday, March 20 from 10:30 am – 11:30 am PT.
  • Even Numbered Posters are presented on Friday, March 21 from 10:30 am – 11:30 am PT.

General Poster Information

  • Poster Attendant Desk: A dedicated Poster Attendant Desk will be situated in the exhibit hall to provide any assistance you may need.
  • If you order poster printing from one of our printing services: Posters can be picked up at the Poster Attendant desk in the Exhibit Hall, located at the back where you see the "Exhibitor Services" hanging sign and poster boards.
  • Place all poster tubes or cases in the bins at the Poster Attendant desk. These are a tripping hazard.
  • Thumbtacks will be available onsite at each board and onsite to hang your poster.
  • Handouts: If you choose to do so, handouts of your poster are allowed for distribution

QR CODES:
QR codes are allowed as long as they are for educational purposes only, excluding references to third-party healthcare goods or services consumed by or used on patients.

THE PRINTED POSTER

Compliance Requirements

  • Dimensions: No larger than 44” high by 44” wide, with materials within the assigned half-board.
    Poster sizes
  • Content: Include poster number, title, authors, and affiliations. Include financial disclosure information for learners. Ensure legibility from 4–5 feet away.
  • Language: All content must be in English. As the official meeting language is English, all poster presentations are to be in English.
  • Advertising of products is prohibited.
  • QR Codes: Allowed for educational purposes only, excluding references to third-party healthcare goods or services consumed by or used on patients.
  • Anonymity and Citations: Patient anonymity must be maintained, and all sources correctly cited. It is the author’s responsibility to ensure that all parts of the poster are free of any third party right and/or cited correctly.

POSTER FORMAT 

Each accepted abstract will be required to present a printed poster and upload an electronic copy of their poster. Your poster should adhere to the following guidelines:

Electronic Poster (PDF) (Required):
This will be displayed on the ACMG meeting app and website.
A customizable template has been made available for your convenience. You can find the template in your presenter portal.

Audio Tour (Optional):
In addition to the electronic poster, presenters may also include a short recording (up to 3 minutes). This recording is to help colleagues understand your poster, hence a tour. (RECOMMENDED). This must be in .mp3 file format and cannot exceed 400 MB.

Posters will be embargoed until Wednesday, March 19 at 5:00 PM PT

ACMG Embargo Policy
All meeting attendees, presenters, authors, the media, exhibitors, institutions, industry and all other organizations and individuals are required to abide by the ACMG Annual Meeting Embargo Policy. 

All abstracts, posters and oral (platform) scientific presentations are under strict embargo once ACMG has notified a presenter of their abstract’s acceptance. 

An embargo means that information from any abstract, poster or presentation is confidential and may not be announced, publicized, or disseminated before the embargo lift dates and times, as detailed below. The purpose of the ACMG Embargo Policy below is to protect the scientific integrity of all content presented at the ACMG Annual Clinical Genetics meeting and to ensure publicity is not released prematurely. 

All ACMG Annual Clinical Genetics Meeting content to be presented or published is embargoed until the time of an actual conference presentation, ACMG has updated its guidelines to reflect the current e-publishing and online environment. The Embargo Policy below provides more details regarding the types of content that are embargoed. 

The ACMG Embargo Policy is based on trust. Violation of the ACMG Embargo Policy may result in the abstract being withdrawn from the meeting and other measures deemed appropriate may be taken. Media who violate the Embargo Policy may lose their ACMG press credentials and be removed from the list to receive embargoed copies of ACMG news releases.
